Job Description

AQUEOUS CLEANING SERVICES is seeking a Junior Tender Administrator to manage and submit tenders related to cleaning, hygiene, pest control, and general supply services. The role includes sourcing opportunities, compiling documentation, liaising with suppliers, and handling general office administration. The successful candidate will contribute to business growth through efficient tender management and support functions.

Requirements

  • Matric or relevant administrative qualification
  • Relevant office administration certificate
  • Supply chain qualification
  • 1–3 years of relevant experience
  • Extensive knowledge of the full tender process
  • Knowledge of general office administration
  • Ability to work independently and within a team
  • Innovative and adaptable mindset
  • Willingness to learn
  • Strong integrity
  • Proficiency in MS Office Packages (Word, Excel, PowerPoint, Outlook)
  • Strong communication skills across different levels
  • Sound decision-making abilities
  • Diploma qualification preferred

Responsibilities

  • Identify and shortlist relevant tenders and RFQs from various platforms daily
  • Monitor tender notices from websites, newspapers, email, and walk-in centres
  • Arrange attendance of briefing sessions by appropriate personnel
  • Evaluate tender suitability in consultation with management
  • Purchase tender documents and update tracking lists weekly
  • Register on public and private vendor databases
  • Ensure all supporting documents are current and relevant
  • Coordinate with technical teams for pricing and methodology input
  • Compile complete tender packages and incorporate client updates
  • Present documents for management review at least two days before deadline
  • Submit tenders/RFQs 24 hours before deadline; none submitted on the deadline date
  • Record prices from public bid openings and update competitor database
  • Respond to validity extension requests and seek feedback on rejections
  • Attend open bid evaluations when possible
  • Achieve a tender success rate of at least 40%
  • Maintain updated tracking and contribute to meeting branch targets
