Job Description

Oversee all facilities, maintenance, and supplier operations for the Pretoria office, including vehicles, equipment, service providers, and cellular management. Ensure compliance, efficiency, and high standards across all physical operations. Serve as second-in-command to the Chief Administration Manager and support strategic decision-making through reporting and staff management.

Requirements

  • Matric / Grade 12
  • Diploma in Project Management
  • Diploma in People Management
  • Building and/or maintenance experience, preferably in a professional services environment
  • Experience liaising with internal clients and outsourced suppliers
  • Driver's License EB with zero vehicle restrictions (manual vehicle essential)
  • Good communication skills (verbal and written)
  • Strong negotiation skills at all levels
  • High urgency and proactive mindset
  • Effective interpersonal skills
  • Computer literacy with MS Office (Word, Excel, PowerPoint)
  • Familiarity with PDF & DWG Readers, VSC Security Centre, BMS Systems
  • Experience with SoftCon or similar access control systems
  • Understanding of gate remotes, motors, plumbing, and electrical DB systems
  • Strong administrative and organisational capabilities
  • Problem-solving and creative thinking in operational contexts
  • Analytical and critical thinking skills
  • Detail-oriented and accuracy-focused
  • Ability to lead and motivate staff

Responsibilities

  • Liaise with Centre Management Operations Division for facility-related needs
  • Oversee housekeeping services and pest control scheduling
  • Manage confidential document destruction and coordinate service providers
  • Handle air conditioning and carpet cleaning service schedules
  • Secure and monitor key register and key safe access
  • Assess and address building and furniture maintenance needs
  • Coordinate servicing of kitchenette equipment, firm signage, and appliances
  • Maintain vehicle and bike readiness with the mailroom supervisor
  • Ensure generator is serviced and operational
  • Manage tools inventory for in-house maintenance tasks
  • Communicate external maintenance needs to Procurement Division
  • Lead the Technical Helpdesk team and ensure efficient service request handling
  • Generate reports on provider performance, building maintenance, inspections, and helpdesk stats
  • Present updates to OpCom meetings on vehicle maintenance and costs
  • Support and manage operational staff performance and development
  • Act as point of contact for cellular device issues, upgrades, and protocols
  • Coordinate vehicle license renewals and monitor traffic fines compliance
  • Assist the Chief Administration Manager with staff operations and space planning
  • Manage parking and floor layout plans and seating rotations for approval
